Fast responses win the tour
Renters usually contact several communities at once. The first one to respond with a helpful answer and an easy way to book often gets the tour. A widely cited study found that responding within 5 minutes instead of 30 made a business 21 times more likely to qualify the lead (MIT / InsideSales.com Lead Response Management Study, as summarized by LetHub). That is a cross-industry benchmark, not a multifamily-specific number, but the lesson carries over.
Cover nights and weekends
Many apartment searches happen after office hours. AI leasing assistants, auto-replies with self-scheduling links, and clear weekend coverage keep leads from going cold overnight.
Make the first reply useful
A fast reply that only says "thanks for reaching out" does not help. Answer the question, share pricing or availability when you can, and include a link to book a tour.
Follow up more than once
A single reply is rarely enough. A simple sequence over several days, mixing text, email, and calls, recovers leads that would otherwise disappear.
Measure response time like any other KPI
Track average response time by property and by source. When it slips, conversion usually slips with it, long before occupancy shows the problem.
Marketing brings the lead in. Fast, helpful follow-up is what turns it into a tour.
